LOOP engages contractors and third-party service providers to assist in delivering services on our behalf, including installation, removal, refurbishment, and reupholstery contractors. Where these parties require access to client information — including site details, asset data, or contact information — to perform their work, we will share the minimum information necessary. All contractors engaged by LOOP are required to handle personal and confidential information in a manner consistent with this Policy.
5.3 Audit Platform Provider
LOOP’s furniture auditing services are delivered in part through a proprietary audit portal application developed and operated by a third-party technology partner. When LOOP conducts a furniture audit, information collected during that process — including asset data, condition records, photographs, and site information — is entered into and stored within this platform.
By engaging LOOP’s audit services, you consent to relevant information being processed through this platform. LOOP takes reasonable steps to ensure that its audit platform partner handles personal and confidential information in accordance with the Australian Privacy Principles. The platform may store or process data on servers located in Australia or overseas. Where data is processed outside Australia, LOOP takes reasonable steps to ensure it receives equivalent privacy protections to those required under the Privacy Act 1988 (Cth).
Access to audit data within the platform is restricted to LOOP personnel and contractors directly involved in the relevant engagement. Audit data is not shared with any other third party except as required to deliver the services or as otherwise disclosed in this Policy. 5.4 Analytics and Website Service Providers
We use third-party tools to help us understand how our website is used and to improve our online presence. These may include:

LOOP recognises that information shared by clients during the course of an engagement — including architectural plans, design drawings, workplace strategy documents, and staff information — is commercially sensitive and confidential in nature.

• Use it only for the purpose of fulfilling the agreed brief or scope of services;
• Restrict internal access to those personnel directly involved in the relevant project;
• Not disclose it to any party other than contractors or suppliers engaged to deliver work on behalf of LOOP, and only to the extent necessary;
• Take reasonable steps to securely store and, upon completion of the engagement, retain or destroy the information in accordance with our data retention practices (see Section 9).
Where a separate confidentiality or non-disclosure agreement is in place between LOOP and the client, that agreement will take precedence over this section to the extent of any inconsistency.

• Information that is no longer required is securely deleted or de-identified.
Where confidential client information (such as architectural drawings or workplace plans) is no longer required for service delivery, we will securely delete or return it in accordance with any instructions from the client or the terms of the relevant agreement.

You have the right to request access to the personal information LOOP holds about you, and to request that we correct any information that is inaccurate, out of date, incomplete, or misleading.

In most cases, access will be provided free of charge. We may decline access in limited circumstances permitted by the Privacy Act, in which case we will explain our reasons in writing.
11. Privacy Complaints
If you believe that LOOP has handled your personal information in a way that is inconsistent with this Policy or the Privacy Act, you are entitled to make a complaint.
Please contact us in the first instance using the details in Section 13. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If we are unable to resolve your complaint to your satisfaction, you may refer the matter to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
